Customer, Site, and Asset Setup

Create the customer–site–asset structure that work requests and reports reference.

Intended for: Administrators, CoordinatorsAdministrator GuidesLast updated 2026-09-18

Required permissions: Create within your organization's tenant.

Enter each customer, their sites, and their assets once, every request and report then references them instead of retyping.

Before you begin

  • Customer company and contact details
  • Site addresses and access instructions
  • Asset names, types, and serial numbers

Step-by-step instructions

  1. 1

    Add the customer

On the Customers page, record company name, industry, contact name and email, and status. The contact email is also what links portal accounts to this customer.

  2. 2

    Add sites

On the Sites page, record each location with its address and site access instructions, linked to the customer.

  3. 3

    Add assets

On the Assets page, record each asset with its name, type, serial number, customer, and site. Include last service date and notes where useful.

  4. 4

    Reference, don't retype

Work requests now select the customer and describe the site and asset, connected records accumulate history as work completes.

Expected result

A connected customer–site–asset structure.

What happens next

Create work requests against these records.

Fields explained

Asset type
Pressure vessel, piping, storage tank, structural weld, valve, heat exchanger, rotating equipment, or other.
Access instructions
Site-specific entry requirements, saved so every crew sees them.

Important

  • Keep the customer contact email current: report notifications and portal linking depend on it.

Troubleshooting

Customer missing from a request form

Customers must exist in your organization first, add the customer, then create the request.
