User Management and Roles

Invite users, assign admin or user roles, and manage platform access.

Intended for: AdministratorsAdministrator GuidesLast updated 2026-09-18

Required permissions: Admin role. Only administrators can invite and manage users.

Access to your organization is invitation-based, there is no open self-registration for staff accounts.

Before you begin

  • The new user's email address
  • Their role: admin or user

Step-by-step instructions

  1. 1

    Open Settings

The Users section lists every account with its role.

  2. 2

    Invite a user

Use the invite option, enter the email, and choose the role. The user receives an invitation email to set up their account.

  3. 3

    Role guidance

Give admin only to people who manage users and configuration. Everyone else gets the user role.

  4. 4

    Review access periodically

Invitations and role assignments are recorded in the audit trail (user_invited).

Expected result

The new user can activate their account and sign in.

What happens next

For customer contacts, ensure their email matches the contact email on their customer record so the portal links automatically.

Fields explained

Admin
Manages users, settings, roles, and tenant configuration.
User
Works with business records within your organization's scope.

Important

  • Never share accounts. Every action in the audit trail is attributed to the signed-in account.

Troubleshooting

Invited user never received the email

Check the address for typos, then re-invite. Ask the user to check spam folders before requesting a new invitation.
